Calendar
Saku Calendar gives you one place to view due dates across boards and teams. Switch between week, month, and year views, filter by boards, labels, and people, and open cards directly from the calendar. You can also add standalone calendar items and client meetings, then turn an event into connected tasks, notes, CRM activity, and tracked time.
Overview
Open Calendar to visualise work by date. The calendar reads cards you can already access and shows board context, assignees, and labels where relevant. You can also open Calendar inside a board, so planning stays inside board context instead of forcing a full-page redirect.
Calendar items and meetings
- Use Add item to create calendar-only entries that are not tied to a card yet.
- Set type to Meeting for CRM-style client meetings.
- Optionally link a Saku record while creating: board, card or task, account (with logo search), contact, lead, or deal.
- In Notes, type
@or[[to link boards, cards, notes, CRM records, people, and other calendar items, the same way as elsewhere in Saku. - Add recurrence (daily/weekly/monthly), optional repeat-until dates, and reminder offsets in minutes. Editing or deleting a recurring event applies to all events in that series.
- Open any calendar item to use its work panel. You can create a task on a specific board list, start a linked note, or attach CRM records without leaving the event.
- Calendar-only entries without a board are private to the creator by default.
Calendar item work panel
Select a native Saku calendar item to open its right-hand work panel. The panel keeps the schedule visible while giving you quick actions for the work that follows an event.
- Create task: choose a board list and create a task with the event date, description, client, and a link back to the calendar entry.
- Create note: create a team note that begins with a
Created from [[calendar entry]]link. - Link Saku records: attach a board, card or task, account, contact, lead, or deal. The event then appears in related CRM schedules and stays connected for time tracking.
- Connections: reopen the linked task, notes, and CRM records directly from the event.
Time tracking from Calendar
Use Start timer when work begins. The running timer is linked to the calendar item in Saku Time and Insights. If the event already represents the time worked, choose Log scheduled time; Saku uses the event start and end automatically instead of asking you to enter the duration again. The global timer bar moves into its compact side position while an event panel is open, so it does not cover event actions.
Turn on Time entries in the Calendar toolbar to show your completed Saku Time entries alongside events. The setting is remembered for each workspace. Select a recorded entry to edit its title, schedule, billable status, links, and labels with the same controls used in Time entries. On desktop day and week views, drag the entry to move it, or drag its start or end edge to resize it. Locked timesheet periods and normal Time permissions still apply.
Timezone and all-day events
- Calendar displays times in your viewer timezone (profile, browser, or a temporary override from the desktop rail). Changing the viewer timezone adjusts labels and range boundaries; it does not rewrite stored event instants.
- Each native event keeps its own authoring timezone for exports and reminders.
- When creating or editing an item, enable All day for date-only events. Multi-day spans use an inclusive end date in the form; Saku stores the exclusive end date used by iCal.
Filters
Use Filters to narrow the calendar without leaving the page. You can combine:
- Boards (single or multiple).
- Labels.
- People (assignees).
- Clients.
- Assigned to me for your personal workload.
Date modes
Calendar supports multiple date perspectives depending on what you are reviewing:
- End date: card due dates.
- Created date: when cards were created.
- Created to deadline: range from creation to due date.
- Created to completion: range from creation to completion date.
Import external calendars (read-only)
On Pro and Max you can paste an ICS or webcal subscribe URL so events from Google Calendar, Outlook, Apple, or other apps appear alongside Saku cards and calendar items. Use Import on the calendar toolbar Pro.
- Import is read-only in Saku; edit events in your original calendar app, or use Add item for native Saku entries.
- Toggle Show on calendar per imported feed in Filters or the import modal; hidden feeds still sync in the background.
- Feeds refresh about every hour while you are using Saku (paused after 48 hours away, then catch up when you return), or use Refresh now in the import modal.
- Select an imported event to open its right-hand work panel. You can start a timer, log its scheduled time, create or reopen a linked board task, and manage account, contact, lead, deal, and board connections.
- A task created from an imported event keeps the event description and schedule. The task and imported event also appear in each other's connections.
- Recurring imported events expand inside Saku's sync window, including exclusions, moved instances, and cancellations from your feed.
- Linked board, task, and CRM names respect your current access. Saku does not reveal private board or record titles from imported metadata you cannot open.
- Optional Saku links are stored in Saku only and can be parsed from a
--- Sakufooter in event descriptions when present.
iCal subscriptions (export)
Saku can generate iCal subscription links for your calendar scope Pro. Use the .iCal action in Calendar to copy a URL or open Google Calendar, Outlook, or Apple Calendar quick actions.
iCal subscriptions include cards with due dates according to your access and selected scope (global or single board). Multi-board iCal subscriptions are not currently supported.
API contract notes
- Calendar item API accepts recurrence and reminder offsets for standalone entries.
- Calendar query supports
clientIdsto scope events to one or more clients. - Public board responses redact client linkage fields from cards and board/list defaults.
