Managing teams
Add members, manage roles, review guests, and configure the team workspace: boards, Notes, CRM, billing, and settings.
Overview
Teams are workspaces that own boards, Notes vaults, subscriptions, and (on Pro/Max) CRM data. Open Settings to manage a team. The team settings area includes Members, Boards, Billing, Settings, and API Max.
Members and roles
- Owner: full control over members, billing, and workspace settings.
- Admin: manages members and boards, and typically most workspace operations short of owner-only actions.
- Member: uses the workspace and boards they can access.
Team roles control workspace-level power. Board roles are separate and are documented in Sharing and access.
Owners and admins can see the titles of other people's personal notes when those notes are linked to CRM records or cards, and can request access from the owner. Regular members do not see inaccessible personal notes. See personal notes on CRM and cards.
Inviting people
To invite a full teammate, open the team's Members area and use Invite member. Enter their email, choose a role, and send the invite. Pending invitations can be reviewed, resent, or canceled later.
Use team invitations when someone should join the workspace itself and regularly access multiple boards. If the person should only see one client board or a handful of boards, use a board-level guest invite instead from inside the relevant board, then manage broader workspace membership in Settings.
Guests and board-only access
Saku distinguishes full team members from guests and board-only access:
- Full team members belong to the workspace and can access team-level areas based on role.
- Free guests and board-only guests do not count toward billed seats.
- Board-only guests appear in the team management UI so admins can see which external people have access to which boards.

Team settings
Team settings cover workspace-wide details like team name and other workspace configuration. The Boards area lets admins review boards and their visibility, while Billing controls plan changes and invoices in Settings. On Pro and Max, Costs Pro sets organisation-wide currency, default rates, and per-member bill (and internal on Max) rates that apply across boards; see Cost management → Organisation costs.
The API Max section is where you manage API keys for server-side integrations and automations. Open Settings → API.
